Key answer: export a reconciled closing population, not every number visible in the report

Use the appropriate Zoho Books organisation, reporting period and accounting basis, reconcile opening balances and movements to the closing trial balance, and then map that population to Schedule III. A file-based handoff is a preparation workflow. It does not establish a native Zoho-to-assureFinancials connector or automatically supply the contractual information needed for the notes.

This guide addresses an Indian company preparing Division I financial statements on an accrual basis. Vendor instructions and primary reporting references were checked on 22 October 2026. Menu labels and available export options can vary with the organisation, edition and product changes. Retain the actual report settings used for your file.

Use the opening-and-closing columns for reconciliation

Zoho's trial-balance FAQ documents the Reports → Accountant → Trial Balance route. Its Date Range option and column customisation permit opening and closing balances to be included. Select the period that answers the financial-statement question; a migration-date-to-year-end report is not automatically a full-year activity report. Retain a readable original and the machine-readable file supported by the intended preparation tool.

Keep opening balance, period debits, period credits and closing balance as distinct fields. If you use a debit-positive signed convention, closing equals opening plus debit movements less credit movements. Do not add a displayed closing balance to its opening balance a second time. Retain account identifiers and original account types so repeated or similarly named accounts remain distinguishable.

A saved manual journal is not necessarily a posted accounting adjustment

Zoho's manual-journal guidance distinguishes draft, approval-related and published statuses. It also describes reporting-method choices for accrual-only and cash-only journals. Reconcile the status and basis of each intended closing adjustment to the report used, rather than assuming that a saved draft already affects the trial balance. An authorised unpublished item may need to be posted through the permitted process or separately documented in the financial-statement adjustment working, with no double booking.

Build the statutory bridge around supporting information

The statutory Schedule III text, reproduced in Annexure A of the ICAI Division I publication, requires the relevant classifications, notes and comparative information. A software account type is a starting point, not a completed maturity or disclosure decision. Obtain party-level balances and due dates, borrowing terms, asset movements, share-capital records and the other information applicable to this company.

Run two reconciliations: source closing trial balance to imported trial balance, and imported balances plus identified adjustments to the final statements. Explain changes by account. Reconcile the prior year separately to the signed financial statements. Where accounting records were migrated during the year, preserve the pre-migration records and the boundary reconciliation. Do not treat a migration opening as new revenue or expense.

Worked illustrations

The following cases use fictional figures and stated assumptions. Amounts are Indian rupees unless a different unit is expressly shown. They illustrate preparation controls and do not represent real client results.

Illustrative example 1: opening plus movements produces the closing debtor balance

A ledger has opening debit ₹4,00,000, period debits ₹7,00,000 and period credits ₹6,20,000. Closing debit is ₹4,80,000. Importing ₹4,80,000 plus the ₹4,00,000 opening again would produce ₹8,80,000, overstating the closing amount by ₹4,00,000. The three source columns describe a roll-forward, not three separate closing accounts.

Illustrative example 2: a migration boundary splits the annual revenue

A company migrated on 1 October. Its verified April–September revenue is ₹18,00,000 and October–March revenue is ₹22,00,000. Full-year revenue is ₹40,00,000, assuming no duplicated transactions or other adjustments. A date-range activity report beginning 1 October cannot by itself support the ₹40,00,000 full-year figure. Reconcile the earlier period and the treatment of migrated balances.

Illustrative example 3: a closing journal remains a draft

Assume an otherwise valid additional expense accrual of ₹60,000 is saved as a draft and excluded from the exported posted balances. Reported expense is ₹5,40,000; the adjusted expense should be ₹6,00,000 if recognition is appropriate. A separately applied financial-statement adjustment must be removed or reconciled when the same journal is later published, or expense becomes ₹6,60,000 through duplication.

Illustrative example 4: an accrual-basis difference is a timing difference

Services of ₹1,20,000 have been received and correctly accrued but remain unpaid. A cash-based expense population of ₹8,00,000 would omit this amount; the simplified accrual expense is ₹9,20,000. This example assumes no opening accrual reversal, prepaid amounts or other basis adjustments. Trace the underlying transaction and reporting method rather than changing the final total without a journal or reconciliation.

Illustrative example 5: an opening mismatch must not become current-year income

Prior signed reserves are ₹9,50,000 while the migrated opening shows ₹9,00,000. The ₹50,000 difference requires source-record investigation. Booking ₹50,000 as other income merely to make the opening agree creates current-year income without establishing an earned amount. Determine the actual omitted or misstated opening item and the appropriate accounting treatment.

Illustrative example 6: a published adjustment changes the export cut-off

The first closing bank report is ₹3,75,000. A supported, published bank-fee journal of ₹2,500 reduces it to ₹3,72,500, assuming the fee was not already recorded. An import still showing ₹3,75,000 is stale by ₹2,500. Regenerate the source report or reconcile the separate adjustment, and retain the journal identifier so it is counted only once.

Sixteen practitioner FAQs

1. Is this a direct native integration?

No native integration is asserted here. This article explains a reconciled report-file handoff using options actually available in the source and destination tools.

2. Where does Zoho document opening and closing columns?

Its linked trial-balance FAQ explains Date Range selection and adding Opening Balance and Closing Balance through report-column customisation.

3. Should I import all four balance columns as amounts?

No. Define their roles. Import the intended closing amount and retain opening and movements as reconciliation evidence unless the destination explicitly requires another structure.

4. Does migration date equal the start of the financial year?

Only when the actual migration occurred then. Reconcile the earlier period separately where the migration took place during the year.

5. Can I discard the pre-migration system after obtaining opening totals?

Retain the records needed to support the complete reporting period and audit trail. An opening total does not explain all earlier transactions.

6. Does saving a draft journal update the accounts?

Do not assume so. Check the journal status and whether it is included in the exported accounting report. Zoho distinguishes published journals from drafts.

7. Why can an adjustment appear on one basis but not another?

Zoho documents reporting-method settings for manual journals. Check whether the journal is accrual-only, cash-only or otherwise included in the selected reporting basis.

8. Can I add a missing journal in the financial-statement working?

A supported separate adjustment can be documented in the preparation reconciliation. Track whether it is later posted into Zoho to prevent duplication.

9. Will a balanced export supply all Schedule III notes?

No. The trial balance generally lacks some contractual, shareholder, due-date and other qualitative information needed for the company's applicable disclosures.

10. Is the existing account type the final Schedule III classification?

No. Examine nature, maturity, operating cycle and supporting facts. Preserve the original type as source information.

11. Can I use current-year balances as comparatives?

No. Obtain and separately reconcile the comparative year to the signed statements and any properly documented presentation changes.

12. What if account names repeat?

Retain account codes or other stable identifiers. Investigate genuine duplicates instead of merging solely on a display name.

13. Should a migration adjustment be reported as other income?

Only if its underlying substance and applicable accounting treatment justify that recognition. Do not use income as an unexplained balancing figure.

14. What should happen after a late journal is published?

Refresh the affected source reports, update the bridge and assess whether separately applied financial-statement adjustments now duplicate the posted entry.

15. Is a PDF suitable as the main data-import source?

Prefer a supported structured file for importing numbers, while retaining a readable original for evidence. Check the destination's actual accepted formats.

16. What proves the handoff is complete?

A reconciled source population, all required supporting schedules, resolved exceptions and an identified final version provide a more useful basis than a successful upload alone.

Practical use with assureFinancials

Use this working alongside assureFinancials and the assureOffice tools. Confirm the import fields and export options actually available in your version before selecting the workflow. A file-based handoff does not itself establish a native integration, automatic legal compliance or the completeness of the supporting disclosures.

Conclusion

Preserve the period and journal-status evidence behind the export. A reliable Zoho-to-Schedule III bridge explains opening balances, annual movements, closing amounts and every subsequent adjustment without duplication.
